Synciva Privacy Policy
Last updated: 10 October 2026
Synciva is a mobile app that helps sports clubs organise their members, teams and events. This policy explains what personal information Synciva collects when you use the app, why, who can see it, how long it's kept, and the rights you have over it.
In short
- We only collect what's needed to run your club's membership, teams and events.
- Your details are visible to your club's captains and administrators, as described below, and to no one else.
- The app has no adverts and no analytics or tracking tools, and we never sell your information.
- Your information is stored on Microsoft Azure servers in the United Kingdom.
- You can delete your account in the app at any time, and ask to see, correct or delete your information by emailing synciva@gmail.com.
Who we are
Synciva is operated by Shayan Hirani, who is responsible for the app and the personal information it stores (the "data controller" under UK data protection law). You can contact us at synciva@gmail.com.
Your club decides who is on its member list, approves new members, and manages its own teams and events in Synciva. If you have a question about your membership itself, such as whether you're a member or which team you're in, your club's administrator is usually the best person to ask.
What we collect
| Information | Where it comes from | Why we use it |
|---|---|---|
| Your full name and email address on your club's member list | Your club, when it adds its members to Synciva | To check that you're a member of the club when you create an account |
| Account details: first and last name, email address, and password | You, when you create your account | To create your account and let you sign in. Your password is stored only in a securely hashed form; no one, including us, can read it. |
| Profile details: phone number and date of birth, if you choose to add them | You, in your profile | So your club has up-to-date contact details for you |
| Club membership: the club you belong to, whether your membership is approved, and your role (for example Player or Captain) | You and your club | To give you access to the right club, teams and features |
| Teams you're in, and the events you're invited to | Your club | To show you your teams and fixtures |
| Your availability for events, and any note you add | You | So your captain can see who is available |
| Technical information: IP address, device and app details, the requests the app makes, and error details | Automatically, when the app talks to our servers | To keep the service secure and reliable, and to find and fix problems |
We don't collect your location, contacts, photos, or any information from other apps on your device.
Information stored on your device
To keep you signed in, the app stores sign-in tokens in your phone's secure storage (the iOS Keychain or Android Keystore). It also remembers which club you selected. Logging out removes the sign-in tokens from your device.
Who can see your information
- Members of your teams can see the names of the other members of those teams, and who the captains are, but not their email addresses, phone numbers or dates of birth.
- Your team's captains can see your availability, and any note you add, for that team's events.
- Club administrators can see your account and membership details, so they can manage the club and approve new members.
- Service providers: Microsoft Azure hosts our servers, database and error logs in the United Kingdom, and processes information only on our instructions. The app is distributed through the Google Play Store and the Apple App Store, which have their own privacy policies for their stores.
- Where the law requires it: we'll only share information with authorities if we are legally required to.
We don't sell your information, share it with advertisers, or use it to profile you.
Our legal reasons for using your information
- To provide the service you've signed up for (contract): creating your account, checking your membership, and showing your teams, events and availability.
- Our legitimate interests: keeping the service secure, preventing misuse, and fixing problems, and helping your club run its membership.
- Legal obligations: where the law requires us to keep or share information.
How long we keep it
- Your account and club information is kept while you have an account. If you ask us to delete your account, we delete or anonymise your personal information within 30 days, unless we must keep something by law.
- If your registration isn't approved, or you leave your club, your account is kept without access to the club, so the club's records stay accurate. You can ask us to delete it at any time.
- Technical logs are deleted automatically after 90 days.
- Your club's member list is kept for as long as your club uses Synciva, or until your club removes you from it.
How we protect it
- All information between the app and our servers is encrypted in transit (HTTPS).
- Passwords are stored only as secure hashes.
- Access is limited by role: you can see only your own club, and only captains and club administrators can see the information that their role needs.
- Sign-in tokens on your device are kept in the phone's secure storage.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's wrong (you can also update your own profile in the app);
- ask us to delete your account and personal information;
- object to, or ask us to restrict, how we use your information; and
- ask for your information in a format you can take elsewhere.
You can delete your account yourself at any time in the app, under Profile → Delete account (see how to delete your account). To use any of your other rights, or to ask for deletion by email, email synciva@gmail.com from the email address on your account, and tell us which club you belong to. We'll reply within one month.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to put things right first, so please contact us before going to the ICO.
Children
Synciva isn't designed for children under 13, and children under 13 shouldn't create an account. If you think a child under 13 has given us their information, contact us and we'll delete it.
Changes to this policy
If we change this policy, we'll update the date at the top of this page. If the changes are significant, we'll also tell you in the app.
